SSPP School Board Meeting

Tuesday, September 23, 2014


Board Members Present:             Harry Cavanaugh, Richard Finger, Amie Dennis, Patrick Mallory Lisa Nielsen, Tom Daly, Norval Cox, Pat Harmon

Ex Officio Member:                      Monsignor Steffen

Other Attendees present:           None

The meeting was called to order at 6:35 pm with the School Board Prayer. 

The minutes of the last meeting were reviewed.  Pat H. made a motion to accept the minutes with revisions.  Patrick M. seconded. The minutes were accepted unanimously.

Open Forum

Jennifer St. Peters has volunteered to take over the tailgating social of the parish.  More details to follow.

Pat Harmon showed a thank you note signed by all the students from her donation to the school.

Tom Daly wanted to thank Mr. Cavanaugh and all the staff of the school for their Ice Bucket Challenge and their donation to the St. Vincent de Paul Society.

Lisa N. went to the Alton Deanery Meeting.  She was challenged to read the book "Reinvent" about pulling children into Catholic Schools.

Tom D. said that scholarships should be addressed through the Springfield diocese and model how it is done through the St. Louis diocese.

Principal Report              

Gym Floor is still not finished, but the children are playing on it in the meantime.

Barrett heating and cooling has responded to PIE (Partners in Education) and  Shell Credit Union has also.

We have been awarded a $1,200 Grant from Lowes to use as we see fit through Chris Rose.  2 classrooms will be re-carpeted. 

Alumni Award in October.  Monsignor Steffen will get Friend of SSPP in September. 

Next Year's Enrollment Procedures

A. Cover letter that tuition covers only part of running school and fundraising needs to cover 20%

with next page explaining FPP program.

B. Forming a welcoming committee (4-10 parents) and have them call new families to welcome them and ask if they have any questions.

C. Social Event right after school starts for the new people.

Long Range Plan

Mark Hamburg electrical report is last update needed to finish Long Range Plan.

Mr. C will be sending it off when completed.

Pat H. made a motion to adjourn.  Patrick M. seconded.  Motion passed unanimously.

The meeting was called to order at 6:34 pm with the School Board Prayer.  

Minutes from the previous meeting were reviewed.   Mary H. moved to accept the minutes.   Pat H. seconded.  The minutes were accepted unanimously.

Open Forum

Megan Moore asked about being credited for hot lunch on the day of the power outage.  Mr. C will check if we credit hot lunch for snow days or power outages.

Msgr.  Steffen reminded all about school families attending church.  Last weekend was unusual because we were down 100 people.  Mr. Cavanaugh stated that part of this was that 6 families attended Sts. Simon and Jude Catholic Church in Gillespie to surprise him for Mr. C's birthday.  

Principal's Report

Gym  floor.  We are ready to go with the money and volunteers to redo the gym floor after the Christmas Bazaar.  The concern of the diocese is about insurance on the volunteers.   We have provided a list of volunteers with ages.  

iPad’s are in and have been distributed.  Katie and Brenda are going to a workshop on effective use of iPads in the classroom.

After School is doing well.  We have a new volunteer, Misty Shaw, and we are no longer buying snacks.  Misty Shaw has a girl in Kindergarten and volunteers on alternating days during the week.  

Electronic recycling starts after Thanksgiving.  He will have a smaller dumpster on campus, but will be able to pick up larger items individually (like refrigerators).

Tuition management is done through Smart Tuition, but it is not a collection agency.  It does notify when someone misses a payment.   A paypal account would be needed to do electronic transfer, and this would be more expensive to manage than any gain it could bring.  Our previous system, FACTS, did not allow one to pay by check; it was taken out of a checking account.  Mr. C still doesn't know why we ever switched from FACTS to our new system of Smart Tuition.  Perhaps Patti K. knows, or would look into going back.

Fast Direct is used by SSPP for email messages between all School staff and parents.  Mr. C asked everyone to reply to one of his messages and calculated that 20 of 58 families read his weekly message that week.  Amie D. brought up that Marquette High School has recently switched to Renweb.  She likes it better and feels it is more user friendly.

The dress code on leggings has generated many requests.  They are now allowed at any time of the school year.  Black was added to navy blue in the handbook last year.   Megan M. motioned that gray and hunter green (solid colors) be added to that list for the handbook.   Amie D. seconded.  It was passed unanimously.  

New Business

From Jean Johnson, Superintendant of Schools on Board Responsibilities.  

Long Range Planning.  We will start in the spring with a representative from Springfield.  5 or so volunteers will be taken from the school board.

Review of board tips.  A handout on what the School Board should and should not be doing.

Old Business  

Website was visited by Amie D. and she said it looks wonderful.  Mary H. said everything is user friendly and has resource links for students.  The Marketing  Committee will then meet with Tom and Sam Minier for an Eagle Scout project to present a design for a sign for the Church and School (Parish) across the street.  

    1. content changes can be done with Katie and Mr. C  (will be taught by Pat S.)

    2. CC Fischbeck asked how Calendar events can be updated.

Grants: no updates.

School Board opening.  Still an opening for a parish member.  A list of names was given to Msgr. Steffen.  Mr. C will call a few to see if they are interested.

PSA Update:  Ready for the Christmas Bazaar with 50 vendors,  $40 a table.  

Big Raffle through Oct 15 is $6,610 sold, about 1/3 of our goal of $20,000.  

Taco Night Profit: $450.

Nov. 9th in Cafeteria  is Pancakes and Sausage dinner.

Lisa N. made a motioned to adjourn at 8:18.  Mary H.   seconded.  Motion passes unanimously.
